Privacy Policy

This Privacy Policy explains how Fieldgates ("Fieldgates," "we," "us," or "our") collects, uses, and shares information when you visit fieldgates.com, contact us, subscribe to our newsletter, or follow a link to the Fieldgates platform.

This website is intended for business users and is not directed to children.

Information you choose to provide

Sales and Enterprise inquiries

The contact form asks for your name, email address, company, website, and message. We use this information to evaluate and respond to the inquiry, communicate about relevant Fieldgates plans or projects, and maintain a record of the business conversation.

Contact-form information is sent to HubSpot, our customer relationship management provider, when that integration is configured. Do not submit passwords, payment-card details, health information, government identifiers, or other sensitive personal information through the form.

The footer newsletter form asks for an email address and your explicit agreement to receive Fieldgates updates. We send this information to MailerLite, our email delivery and list-management provider. You can unsubscribe using the link in any marketing email. We may retain a limited suppression record so we can respect an unsubscribe request.

Platform accounts

The signup and sign-in links lead to app.fieldgates.com. Information collected to create and operate a Fieldgates account is handled in the platform context. Additional notices may appear when the platform requests business information, connected-account access, billing details, or approvals.

Connected Google services

When an authorized Fieldgates user chooses to connect a Google Account, we may receive and store encrypted OAuth access and refresh tokens, the permissions granted, and identifiers for the Google accounts, properties, or locations selected for that user's Fieldgates organization. Depending on the services connected, Fieldgates may access:

Google Search Console: verified site properties and search-performance data such as queries, pages, clicks, impressions, click-through rate, and average position;
Google Analytics: accessible accounts and properties and aggregate website metrics such as active users, sessions, key events, and revenue;
Google Ads: accessible customer accounts, campaign names and status, spend, clicks, impressions, conversions, and Google-provided recommendations; and
Google Business Profile: accessible business accounts and locations, location details, and customer reviews; and
Gmail reply detection: only after a separate, explicit Gmail reply-monitoring consent. We access limited message and thread metadata, including identifiers, timing and label metadata, and a fixed set of routing and reply-reference headers, solely to determine whether someone replied to a Fieldgates-sent customer email. We do not access message bodies, snippets, attachments, arbitrary headers, arbitrary mailbox search, or use this capability to modify the mailbox.

Fieldgates requests this information only after the user starts the connection and approves Google's consent screen. Fieldgates does not receive the user's Google password.

We use Google user data only to provide the features the user requests. This may include listing accounts and properties available for selection, displaying organization-specific performance information, preparing reports and recommendations, creating business tasks, importing Business Profile reviews for response workflows, and applying a supported Google Ads recommendation only after an authorized organization owner approves that action. If Gmail reply monitoring is separately activated, we use the limited metadata above to start, renew, and stop mailbox monitoring; identify replies to Fieldgates-sent customer emails; stop eligible future follow-up work after a verified reply; investigate service errors; and maintain minimum operational and audit records. It does not compose or send a response to received email. Fieldgates does not make unattended changes to Google Ads campaigns, budgets, or targeting.

We do not sell Google user data, use it to build advertising profiles, use it for advertising unrelated to the requested Fieldgates service, or use it for credit, employment, surveillance, or other unrelated purposes. Human access is limited to providing user-requested support, investigating security or abuse, complying with law, or maintaining the service, and is subject to access controls.

Fieldgates's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including its Limited Use requirements.

Information collected automatically

Our hosting and security provider, Cloudflare, may process technical information needed to deliver and protect the site, such as IP address, request time, requested URL, browser and device information, and security signals. This processing helps the site function, prevents abuse, and supports troubleshooting.

Analytics choices

We use Google Analytics 4 (GA4) only after you choose Allow analytics in the website consent controls. Before consent, the website does not load the Google Analytics script or set a Google Analytics cookie.

If you allow analytics, GA4 may collect information such as pages viewed, referrer, general device and browser information, approximate location derived from an IP address, and non-PII interactions with the website. The website is configured to track a limited set of acquisition events, such as clicks that hand off to signup or sign-in, pricing actions, customer-story opens, sales-form completion, and newsletter subscription. We do not intentionally send form contents, email addresses, names, company names, or other directly identifying values in analytics events.

You can choose Essential only when first asked. You can also reopen Analytics preferences from the website footer to change your choice. Withdrawing analytics consent stops future analytics collection from this browser; it does not delete information Google may already have processed. See Google’s Privacy Policy for more information.

How we use information

We may use information to:

deliver, secure, maintain, and troubleshoot the website and platform;
respond to sales, Enterprise, support, and other business inquiries;
provide requested newsletter communications;
understand website performance and acquisition journeys when analytics consent has been granted;
prevent spam, fraud, misuse, and security incidents;
comply with legal obligations and enforce applicable agreements; and
establish, exercise, or defend legal claims.

We do not sell personal information. We may disclose information to service providers that process it for the purposes described above, including:

Cloudflare, for hosting, content delivery, and website security;
HubSpot, for contact and sales inquiry management;
MailerLite, for newsletter consent, list management, and email delivery; and
Google Analytics, only after analytics consent, for website measurement.

For connected Google services, we may provide contracted hosting, security, support, or AI service providers only the minimum data needed to operate the requested Fieldgates feature. We do not permit Google user data to be used to train general-purpose AI models.

These providers may process information in countries outside your province, state, or country. Their handling of information is also governed by their own terms and privacy commitments.

We may also disclose information when required by law, to protect rights and safety, in connection with a corporate transaction, or with your direction or consent.

Retention and security

We retain information only as long as reasonably needed for the purpose collected, legal and accounting requirements, dispute resolution, security, and enforcement. Retention can vary by system and relationship. Connected Google credentials and selections are retained while the integration remains connected or until an authorized organization owner requests deletion. Gmail reply monitoring keeps only the minimum metadata needed for its operational cursor, reply classification, error recovery, and audit history; it does not retain email bodies, snippets, or attachments. Reports and tasks derived from connected services may remain in the organization's workflow history under the applicable account-retention period unless deletion is requested or a legal obligation requires longer retention.

We use reasonable administrative, technical, and organizational safeguards appropriate to the information and context, including encryption of stored Google OAuth credentials and organization-scoped access controls. No internet transmission or storage system can be guaranteed completely secure.

Your choices and rights

Depending on where you live, you may have rights to request access, correction, deletion, restriction, objection, or portability of personal information, and to withdraw consent where processing relies on consent. You may also opt out of marketing emails at any time.

To make a privacy request, email [email protected]. An authorized organization owner may also use that address to request deletion of stored Google OAuth credentials, selected account or property identifiers, and connected-service data, or to disable Gmail reply monitoring. When a Gmail connection is disconnected, Fieldgates disables local monitoring before requesting Google to stop the mailbox watch and revoke the connection. Revoking Fieldgates from Google Account connections stops Fieldgates from obtaining new Google access tokens. Disconnecting or deleting Fieldgates data does not delete information in the user's Google products, and residual copies may remain for a limited period in protected backups before being overwritten through the normal backup cycle.

Third-party links

The website links to third-party sites and to the Fieldgates platform. We are not responsible for the privacy practices of unrelated websites. Review the notice presented by the destination service.

Changes to this policy

We may update this policy as our services, providers, or legal requirements change. The updated date at the top of this page shows when this version was last revised. Material changes may also be announced through the website or another appropriate channel.
